Exhibit Booth Exclusions:Individual booth lighting, transportation, warehousing, brokerage services, a special material or furnishing beyond those already specified, the movement, transfer, removal, storage, setup and dismantling of customer exhibits outside official move-in/move-out.
NOTE: Advance arrangements will have to be made by the Exhibitor at their expense and at prevailing rates for shipping & handling.
Shipping, Receiving and StorageAll shipments, equipment, or items for your Trade Show booth coming into the TARA Centre must arrive between October 23 – 25, 2023.
It always takes longer than what the shipping company tells you to get to Grande Prairie and delivered to the destination. Always add 1-2 business days to what they tell you to be sure.
Mark your skid with the SAME COMPANY NAME as you registered for the show. We only know you by that name and will not accept shipments in other company or parent company names.
COLLECT SHIPMENTS WILL NOT BE ACCEPTED.

Shipments sent to the TARA Centre more than 5 days prior to the first scheduled move-in day may be refused unless prior arrangements have been made with Consider It Done! Events. Exhibitors are responsible for all couriers, customs, brokerage services, etc. for their booth.
Material HandlingExhibitors are responsible for the shipment of their exhibits, furniture, and materials, from the place of origin to and from the Exhibit Hall, including uncrating, assembling, storing, and re-crating of goods.
In the event of any labour or related jurisdictional disputes or any other problems connected with the shipment, consignment or pick up of exhibits by or for the Exhibitor, Conference Management may reject, move, delay, or immobilize an exhibit or act in what it deems to be necessary without liability.
Exhibitor Agreement ConditionsNo Exhibitor shall, assign, sublet or apportion the whole or any part of the space allotted, nor exhibit therein any goods other than those manufactured or handled by the Exhibitor in the regular course of his business, or take orders in the Exhibitor’s space for any such other goods.
Access to the Exhibit Hall will be granted only to that personnel who have been registered and are wearing an approved identification badge (refer to Exhibitor Registration) and in accordance with the dates and times.
All exhibits and displays must be set up and void of all cartons, crates and packing materials at show open (7:15 am on Thursday, October 26, 2023). Any exhibit or display that is not set-up may be removed and stored by the Conference Management at the sole expense of the Exhibitor.
No display material except that carried by hand will be permitted to move through the Exhibit Hall during show hours. No exhibit shall be dismantled before the official closing time of 16:00.
Any material left in the venue following the official move-out time must be marked with shipping labels and the courier forms for pick up prior to 10 am the following business day, Friday, October 27, 2023.
Booth RegulationsNo background may be placed to obstruct, block, or interfere with the lighting or visibility of an adjacent booth.
Aisle space may not be used for exhibit purposes or for solicitation of business. Distribution of materials outside the booth is expressly forbidden.
Distribution of samples, etc. is permitted providing it does not interfere with an adjoining Exhibitor and is conducted in a dignified manner. Noisemakers, blinking lights or any action, which may be a source of annoyance or danger to the health or safety of others, will not be permitted. A list of samples should be submitted to the Conference Producer prior to the opening of the event.
Prizes, or contests, are permitted but all draws should be drawn and announced with the CsHm Committee at the end of the school.
Distribution of refreshments or other products for consumption not manufactured or related to the activities of the Exhibitor are subject to the general rules and regulations of the venue. All food and beverages (including samples) must be approved by the Conference Management before the School. Contact info-gp@cshm.ca if you have any questions.
No signs or other articles are to be fastened to the walls, drapes, ceilings, etc. by any method whatsoever. The use of thumbtacks, scotch or double-sided tape, nails, screws, bolts or any tools or material, which could mark the floor or walls, is strictly prohibited.
Robots, or other remote-control devices, should be limited only to the Exhibitor’s space.
If you have any such devices that may not fit in your assigned space, please contact Conference Management prior to the School and we will try to accommodate your needs.
Exhibit Hall Access / Floor CapacityThe right to exhibit is limited to those individuals, partnerships, and corporations who have submitted a duly completed and executed an exhibit order form, which has been accepted by the Conference Management and who have paid in full for their exhibit or display space. Only personnel authorized by Conference Management shall participate in the set-up, operation and dismantling of booths. Any violation of this ruling, false certification, or misuse of the Exhibitor’s badges will result in the expulsion of the violator from the Exhibit Hall and Conference without obligation by the Conference Management to refund exhibit fees or honour claims for damage.
Lighting and Electrical RequirementsAdequate general lighting as determined by the Conference Management will be furnished in the Exhibit Hall. Special lighting and electrical requirements can be arranged in advance directly through Western Event Rentals.
All electrical connections, installations, assemblies, equipment, or motors must conform to all federal, provincial, and local electrical and fire codes.
The Conference Management shall not be held liable either for damage or loss caused by technical faults resulting from fluctuations in electrical supply, or from acts of God, or for interruptions in supply ordered by the public electricity utility.
Fire Safety and Hazardous MaterialsExhibitor’s materials and/or equipment, etc. must remain within the space assigned.
Fire exits, hose cabinets, and pull stations are to be in full view and always kept clear. Aisles must be kept clean and always uncluttered. All commercial-made materials used for draping or decorating, such as but not limited to, drapes, signs, banners, acoustical material, hay/straw, split bamboo, plastic cloth, canvas, etc. shall be of non-flammable material and shall conform to CAN/ULC- S109 standard. The Exhibitor will have to conduct or must provide certificates and labels on items available for the FD or a representative of the Hall.
Packing materials (such as excelsior-shredded paper and the like) must be returned to the empty cartons. Accumulation of these materials and empty cartons or crates is prohibited in the Exhibit Hall. Storage of these items must be arranged with your show services provider.
No hazardous display of any nature will be permitted in any areas of the Hall. This includes open flames, hot coals, candles, LPG (liquid propane gas) lighters, charcoal grills, flammable gases, liquids or solids, LPG containers, toxic gases, liquids or solids, hazardous chemicals or any hazardous gas, liquid or solid of a similar nature.
InsuranceThe Conference Management will take every reasonable precaution to prevent loss to the Exhibitor’s goods. Under no circumstances will the Conference Management or the affiliates assume any responsibility for loss and/or damage, which might ensue from any cause in connection with the transfer, installation, maintenance, or removal of exhibits. Neither the Conference Management nor its affiliates will be responsible, in any way, for goods while on exhibit or in storage.
