- Every effort will be made to assign the requested booth location based on the date the contract and payment are received at the OACFP office.
- Exhibit spaces will only be assigned after the registration period has ended in an attempt to avoid competing organizations in the same area.
- The EXHIBITOR CONTRACT may be cancelled by submitting the request in writing 30 days prior to the event. Cancelled contracts are subject to a cancellation fee of 50% of the exhibitor fee. No cancellations will be accepted, or refunds issued beyond this date. Equivalent substitution for representatives will be permitted and must accompany written notification to the OACFP office 2 weeks prior to the event.
- The attendee list, owned by OACFP, will not be distributed prior to the conference and will be made available to exhibitors on site or post-conference. The attendee list is not to be distributed to any other party under any circumstance.
- OACFP reserves the right at any time to alter or remove exhibits or any part thereof, including printed material, products, signs, lights or sound and to expel exhibitors or their personnel if, in OACFP’s opinion, their conduct or presentation is objectionable to the OACFP or to other participants.
- Aisles must be kept clear in the exhibit hall.
- Nailing, taping, stapling, and screwing into walls, ceilings, or floors or any other materials that would damage the property are strictly prohibited. Exhibitor floor space also must be protected from any potential damage to flooring and all furnishings must be free-standing. Equipment with small gasoline engines must have fuel tanks drained and dry ice be placed in the empty gasoline tank. Should additional clean up of the function space be required, the exhibitor will assume the responsibility for payment of the associated fees.
- Exhibit dismantling and move-out will be strictly prohibited until after the conclusion of the program and all visitors have vacated the exhibit hall.
- It is the responsibility of each exhibitor to comply with the laws, regulations imposed by the event venue with respect to fire, health and safety.
- OACFP shall not be liable for loss or damage of any article of equipment or property of an exhibitor that he or she may suffer during installation or removal or during the exhibit itself by reason of robbery, fire, accident, or any other destructive cause. The exhibitor, if desired, may obtain insurance.
- Exhibitor agrees to indemnify and hold harmless OACFP, its officers, directors, members and employees from any and all liabilities, damages, losses, expenses or claims whatsoever arising from or connected with its display, any related materials, its conduct in the exhibit hall, or any act or omission in contravention of applicable laws or industry guidelines, or any infringement of the rights of any third parties.
