ITE Canada/CARSP 2023 Joint Conference
Sponsorship Terms & Conditions
This agreement is between the sponsor (named on the sponsor application - “the Sponsor”)
and
the Canadian Institute of Transportation Engineers / Institut canadien des ingénieurs en transports
and
the Canadian Association of Road Safety Professionals (collectively as “the Organizers”)
- This Agreement shall be binding upon its acceptance as set forth in the Sponsor Application Form and per the terms listed below.
- The Sponsor hereby submits the signed agreement for Sponsorship at the ITE Canada/CARSP 2023 Joint Conference (“the Event”), June 4 - June 7, 2023.
- Sponsorship fulfillment cannot be guaranteed unless Sponsorship is fully paid. For sponsor applications made in 2022, payment is due by January 31, 2023. For applications made in 2023, payment is due within 30 days.
- Sponsor hereby grants the Organizers a non-exclusive license to use Sponsor Brand only in connection with advertising and promotion at the Conference. Any use of the Sponsor Brand shall be carried out pursuant to the instructions of Sponsor and the Organizers shall be fully responsible for the fulfillment of these provisions. At the end of Conference, the Organizers must refrain from using them, unless authorized by the Sponsor. None of the statements set forth in this Agreement constitutes the assignment or transfer of any intellectual or industrial property rights held by Sponsor.
- The Organizers agree to provide sponsor benefits outlined in the sponsorship application to the best of its ability. Some items/events may not be available if the full amount of sponsor dollars requested is not reached or other technical reason. In this case, the current sponsors committed will be contacted with an opportunity to move contribution to another item/event.
- Sponsors are required to submit an approved Company high-resolution logo in PNG and PDF, EPS, or AI format.
- All advertising materials and copy must be submitted and approved by the Organizers in advance. Pre-recorded presentations and videos must comply with provided guidelines for format, content, and length.
- Sponsor shall defend, indemnify, and hold the Organizers harmless from all liability, costs, and damages relating to acts and omissions of Sponsor and its employee’s, agents, and contractors associated with the Event.
- If for any reason the Event is not held, the Organizers may terminate this Agreement prior to the Event start date.
- This Agreement contains the complete agreement of the parties, and all prior agreements, whether verbal or written will be null and void.
- This Agreement shall be governed by and construed and enforced in accordance with the laws of the Province of Ontario, Canada.

By submitting a sponsor application, the Sponsor agrees to all Terms and Conditions outlined above.
