Payment and Cancellation Policy

Full payment must be received by the OCFP to secure your exhibit booth space. A confirmation email will be sent to the identified exhibitor contact within 5 business days of receiving and processing payment. 

Cancellations initiated by an exhibitor made:

• Prior to June 3, will be subject to a 25% administration fee.
• Between June 4 and August 5, will be subject to a 50% administration fee.
• On August 6 and until the show date, will be non-refundable.

All cancellations must be made in writing to the attention of the ASA Exhibitor and Sponsorship Specialist at ocfpasa@ocfp.on.ca

Sponsorship Guidelines and Conditions

1. Statement of Purpose. To support the scientific and educational content of the Annual Scientific Assembly (ASA) in order to improve practice, provision of practice and patient supports, and patient outcomes through increased physician knowledge.
   
   
2. Control of Content:  The sponsoring organizations are prohibited from having any direct or indirect influence on any aspect of the development, delivery or evaluation of any certified CPD activity. The sponsoring organization will be accountable and responsible for onsite content within their booth.
   
   
3. Requests to sponsor must be in written form and payment in full must be received upon signing of this Application. Upon signing this Application, the Organization will be accountable to abide by the Cancellation and Payment Policy outlined listed in the Annual Scientific Assembly Exhibitor/Sponsorship Rules and Regulations.
   
   
4. No other funds from ­­­­­the organization (who is listed above) will be paid to any program director, faculty, or others involved with ASA (additional honoraria, extra social events, etc.).
   
   
5. The Organization will receive all recognition elements as outlined in the accompanying Exhibitor and Sponsorship Prospectus.

Sponsor Agreement

We understand that this application becomes a contract when accepted by the Ontario College of Family Physicians (OCFP).  We understand that every attempt will be made to comply with our request for sponsorship, but no guarantees can be made.

We agree to abide by the conditions of the contract, including payment and cancellation policy, listed in the Annual Scientific Assembly Exhibitor/Sponsorship Rules and Regulations.  We also agree to strictly follow CMA Standards, the MEDEC Code of Conduct, and any additional amendments as required by the OCFP and The College of Family Physicians of Canada (CFPC).  We accept responsibility to inform all of our agents and representatives of these conditions and agree that they will also abide by these conditions.
